The secretary was responsible for all formal administrative matters. It was his responsibility to ensure that the company complied with all relevant legislation and to keep the board of directors informed of its legal responsibilities. He was responsible for organising meetings of the board of directors and shareholders, maintaining the company records, such as minutes of board and general meetings, registers of directors and shareholders and annual accounts and completing annual returns to the Registrar of Companies. It was also his responsibility to communicate with shareholders and to ensure that dividend and interest payments were paid.

On the incorporation of the company in 1909, E Lawrence Mackillop, of the Glasgow firm of solicitors, Holmes, Mactavish, Mackillop & Co, was appointed interim secretary. In April 1910, he was replaced by a permanent secretary. In 1940, Robert Keenan was appointed secretary. He succeeded James Robertson.
